Training | HubSpot | How to Export Data from HubSpot

Purpose

This training explains how to export data from HubSpot, including how to choose specific views, manage associations, and download exported files.
Learners will understand how to export relevant company or contact data efficiently while avoiding unnecessary large file downloads.


Training Content

  1. In HubSpot, go to CRM and select the object you want to export (for example, Companies).

  2. Once in the object view, locate the Export button on the right-hand side of the screen.

  3. Important: The export will include exactly what you see in your current view, including visible headers and filters.

    • If you don’t want to export all records, first choose a specific view (e.g., “Chris’s Companies”) to narrow results.

  4. Review the records shown in your selected view to ensure they represent the data you need.

    • Example: If there are associated records (e.g., company ↔ contact relationships), they’ll appear under columns such as Company → Contact.

  5. Click Export.

  6. In the export setup window:

    • Name your export file.

    • Choose a file format (keep as CSV for standard use).

  7. Under Customize, choose the data to include:

    • Properties only, or

    • Properties and associations in your view (recommended).

  8. For most exports, select:

    • Include all associated records in each associated column

    • This ensures you capture all linked information.

  9. Click Export.

  10. When HubSpot confirms “Export Successful,” you can:

  • Click the success message link to download immediately, or

  • Wait for an email notification if it’s a large file.

  1. To locate past exports later:

  • Click the Settings gear icon in the top-right corner.

  • In the sidebar, scroll to Data Management → Import & Export.

  • Under Export Audit, find your export (e.g., Chris Coaching) and click to download again.

  1. Your file will download in CSV format and can be opened in Excel or Google Sheets.
