Part 1: How to Add a User to an Existing Permission Set

  1. In HubSpot, click the Settings gear icon located in the upper-right corner.

  2. In the left sidebar, under Account Management, select Users & Teams.

  3. Use the search bar at the top of the page to look up the user you want to edit.

    • Example: Type the user’s name or email address.

  4. Hover over the user’s name.

  5. Click the Actions dropdown.

  6. Hover over Manage Permissions, then select Assign Permission Set.

  7. In the permissions panel, choose the appropriate Permission Set to assign.

    • Example: Super Admin Permissions.

  8. Click Save.

  9. You’ll see the assigned permission set reflected under the Permission Set field for that user.

💡 Tip: Always verify that the correct permission set is assigned — this determines the user’s access level to HubSpot tools and data.


Part 2: How to Create a New Permission Set

  1. While still in Users & Teams, click the Permission Sets tab at the top.

  2. Click the Create Permission Set button (orange).

  3. Enter a Permission Set Name.

    • Example: Test.

  4. Choose how to start building the permission set:

    • Super Admin – Grants full permissions.

    • Start with a Template – Recommended for most roles.

    • Start from Scratch – Allows full customization (not recommended unless advanced).

  5. Select your base — for example, Standard User.

  6. Review the available permission categories (e.g., Deals, Companies, Contacts).

  7. Customize access levels as needed:

    • Example: For Deals, allow users to view, edit, and delete only their team’s deals.

  8. Repeat this process for other objects or tools you want to restrict or allow.

  9. Use the search bar within the permissions editor to quickly find specific settings.

  10. Once all selections are configured, click Create to finalize the new permission set.

💡 Tip: Use templates whenever possible — they provide a strong starting point and reduce the risk of missing key permissions.
