SOP | How to Collect and Validate Card Information in HubSpot

Purpose & Overview

This SOP outlines how to collect a customer’s card information and then validate the card using the payment link embedded in the deal record.
This ensures that sales team members consistently follow the correct steps for entering card details and triggering HubSpot’s card validation process.


Step-by-Step Instructions

  1. In HubSpot, navigate to the Deals section.

  2. Open the deal you are working on in the Main Sales Pipeline.

  3. Confirm you are in the Sales Team View, which may look different from the Membership or Coaching views.

  4. On the left-hand side of the deal record, scroll down until you see Card Validation.

  5. Hover over DEO Card Validation.

  6. Click the box with the arrow icon that appears.

  7. A payment link will open.

  8. The system will auto-fill the email address based on the contact attached to the deal.

  9. Collect card information by entering:

    • Card Number

    • Expiration Date

    • Security Code

    • Required billing details

  10. Click Pay to submit the information.

  11. This action will validate the card, confirming that it is active and usable.

Troubleshooting & FAQs

Q: The email auto-filled incorrectly—what should I do?
A: Check the contact associated with the deal. Update the associated contact and reopen the payment link.

Q: I can’t find the Card Validation section.
A: Ensure you are using the Sales Team View, as other views may not display this card.
