SOP | Add a Zoom Link in HubSpot (Zoom Hub)

Purpose & Overview

This SOP explains how to add a user’s Zoom Room link, Host Code, and Meeting ID into the Zoom Hub within HubSpot.
The goal is to ensure all user Zoom details are correctly stored for quick access and coordination.

Step-by-Step Instructions

  1. In HubSpot, navigate to Contacts.

  2. Under Contacts, locate the Zoom Hub view.

    • If it’s not visible, click on All Views and search for “Zoom.”

    • Select Zoom Hub from the list.

  3. In the Zoom Hub view, find the contact you need to update.

    • Use the search bar to locate the correct name (e.g., “Braden Scott”).

  4. Click on the contact’s name to open their record.

  5. In the contact record, locate the Zoom Room Information section.

    • This section will typically be blank before updating.

  6. On another tab, open Zoom and log into your account.

  7. Click your profile picture and select Preferences to go to Settings.

  8. Scroll down to the Admin section.

  9. Under Admin, click User Management, then select Users.

  10. Search for and click on the user whose information you are updating.

  11. Scroll down to locate the user’s Zoom Room Link.

  12. Click the eye icon next to the ID to reveal it.

  13. Copy the Zoom Room link and paste it into the corresponding field in HubSpot.

  14. Find the Meeting ID.

    • Copy the last four digits of the Meeting ID and paste them into the Meeting ID field in HubSpot.

  15. Click the eye icon next to the Claim Host Key to reveal it.

  16. Copy the Host Key and paste it into the Claim Host Code field in HubSpot.

  17. Confirm that all three fields (Zoom Room Link, Meeting ID, Claim Host Code) are correctly entered.

  18. Save the contact record in HubSpot.

Troubleshooting & FAQs

Q: I don’t see the “Zoom Hub” view in HubSpot.
A: Click on All Views, search for “Zoom,” and select “Zoom Hub” from the list.

Q: The Zoom Room link isn’t visible in Zoom.
A: Click the eye icon to reveal it under the user’s profile in User Management.

Q: The Zoom Room Information fields are missing in HubSpot.
A: Ensure you’re on the correct contact record and that the Zoom Hub properties are configured.
